The short version
- A scout under 13 gets a ScoutNest login only with their parent's or guardian's permission, given to us in ScoutNest.
- Until then, we collect nothing from your scout. Their name, birthdate, patrol and rank come from the troop's roster, entered by adults.
- You choose what your scout may do, can see what they've posted, and can withdraw permission at any time.
- We never sell your scout's information, never show ads, and never use it for marketing or to train AI models.
1. Who we are
ScoutNest is a service that helps Scouting troops run their program. This notice explains how we handle information collected from scouts under 13 who use ScoutNest, as required by the U.S. Children's Online Privacy Protection Act (COPPA). It adds to our Privacy Policy, which covers everyone.
Contact: email hello@scoutnestapp.com, or use our contact form and choose "Privacy or data request."
2. What we collect from your scout
- The email address your scout signs in with (you provide it when you give permission) and records of their sign-ins, including the IP address and device used, to keep the account secure.
- Their RSVPs to troop events.
- Only if you allow it: messages they send, notes they post on outings, and photos they upload.
We don't ask your scout for anything else, and we don't use tracking or advertising technology in the app. The rest of your scout's record — name, birthdate, patrol, rank — is entered by the troop's leaders and parents, not collected from your scout.
3. How we use it
Only to run ScoutNest for your troop: showing your scout their events and messages, recording their RSVPs, and keeping the service secure. We never sell it, never show ads, never use it for marketing and never use it to train AI models. We don't make your scout's information public.
4. Who can see it
- Your troop's leaders, and you and any other parent or guardian linked to your scout.
- Messages your scout sends go to the leaders they write to, with you always copied — no adult can message your scout one-on-one in ScoutNest.
- Notes and photos your scout posts on an outing are seen by others on that outing. Leaders review photos before others see them.
- Our service providers that host and run ScoutNest — Google Cloud and Firebase (hosting, database, sign-in) and Mailgun (email) — process it for us under contracts that limit its use to providing their service. We don't share it with anyone else, except where the law requires it or to protect a child's safety.
5. How you give permission
- A leader in your troop who knows you in person confirms in ScoutNest that you're your scout's parent or guardian. (You can ask for a login from your scout's page; we'll ask a leader to confirm you.)
- Signed in to your own ScoutNest account, you read this notice, choose what your scout may do, and sign by typing your full name.
- We email you a confirmation. If it wasn't you, its "This wasn't me" link (valid for 30 days) cancels the permission and switches the login off straight away.
Only then does your scout receive an invitation to create their login. We record who gave permission, when, and to which version of this notice.
6. Your choices and rights
- Choose the features. Decide whether your scout may send messages, post event notes or upload photos, and change it at any time. Reading and RSVPs are always on.
- Review. See and download everything we've collected from your scout.
- Withdraw and delete. Withdraw permission at any time; the login is switched off straight away. We delete what your scout posted, unless you choose to keep it for the troop's records.
- Say no. If you don't give permission, your scout won't have a login and we collect nothing from them. Your troop can still keep your scout on its roster.
Do all of this from your scout's page in ScoutNest (the "ScoutNest login" card), or contact us as above and we'll help once we've confirmed you're the parent.
7. How long we keep it
We keep information collected from your scout while your scout is in the troop and your permission is in place. If you withdraw permission, we delete what your scout posted within 90 days, unless you ask us to keep it for the troop's records. We keep a record of your permission decision — what you agreed to and when — for 3 years.
8. How we protect it
Information is encrypted in transit and at rest, stored in the United States, and accessible only to the people and services that need it. A scout's birthdate, email and phone are shown only to the scout and their linked parents — not to leaders.
9. Changes to this notice
If we change what we collect from scouts or who can see it, we'll ask you for permission again before it applies to your scout.
